Terms and Conditions

These Terms and Conditions (T&Cs) set out the expectations and agreement between Katy King Speech and Language Therapy (the Therapist or We) and the client (You or Client) for the provision of Speech and Language Therapy services. By accessing and using the kingspeechtherapy.uk website and its booking system, you agree to be bound by these T&Cs. These T&Cs are designed to protect both parties and ensure clarity regarding the service process, fees, payments, and other important aspects of our professional relationship.

A copy of these T&Cs will be emailed to clients upon booking the initial assessment appointment. This email will also confirm the time, date, and location of the initial assessment. A signed copy of these T&Cs should be brought to the initial assessment appointment. A hard copy can be posted to the client for signature upon request.

Katy King Speech and Language Therapy provides Speech and Language Therapy services for children. Our service process is facilitated via our website and client portal.

  • Free Phone Consultation: Prospective clients can book a free phone consultation via the kingspeechtherapy.uk website. This call is an opportunity to discuss your needs and determine if our services are suitable.

  • Assessment Booking: If, following the free phone consultation, continued support is agreed upon, login details for the client portal will be provided. Clients can then book an assessment appointment via this portal. This option will also be offered during the phone consultation.

  • Session Booking: Once the assessment is completed, reports are provided, and next steps are mutually agreed upon, subsequent therapy sessions will be available for booking via the client portal.

  • Payment at Time of Booking: All fees for services must be made in full via the client portal at the time of booking the session or assessment.

  • Initial Assessment Deposit: A non-refundable deposit of £50 must be paid at the time of booking an initial assessment to secure the appointment. This deposit will be deducted from the total cost of the initial assessment fee, which will be due before the end of the assessment appointment.

  • Payment Methods: Payments are made via the Client Portal at the time of booking using a credit or debit card, with a selection of card types available.

  • Fee Review: Fees are reviewed annually, and a copy of the current pricing structure can be found on the kingspeechtherapy.uk website. Clients may request a PDF copy of current fees for their records.

  • Invoicing: Invoices will be sent when your booking is confirmed. If any sessions are cancelled, clients will be offered an immediate refund or a reduction against their bill the following month, where applicable according to the cancellation policy below.

3.1. Cancellation by the Therapist
  • If the Therapist cancels an appointment, the session can be rearranged at a time that is convenient for both the client and the therapist at no extra cost.

  • If no alternative session can be arranged, the cost of the session will be refunded to the client.

3.2. Cancellation by the Client
  • More than 48 hours notice: If the client cancels a session with more than 48 hours notice before the start of the appointment, the session can be rearranged at no additional cost.

  • 24-48 hours notice: If the client cancels a session with 24-48 hours notice, there will be a charge of 50% of the booked session fee.

  • Less than 24 hours notice / No Show: If the client cancels with less than 24 hours notice, or if they do not inform the Therapist of a cancellation and do not attend the session, the session will be charged at full price.

  • Client Responsibility: It is the parent’s responsibility to inform the Therapist if the child cannot make the session.

  • Ending Therapy: If the client wishes to end therapy before treatment is complete, a one-month notice period is required. At the time of notice being given, the remaining month’s sessions will be confirmed, and an invoice will be sent for these sessions for the notice period. This invoice will need to be paid in advance.

If your child is currently seeing an NHS Speech and Language Therapist, you must inform Katy King Speech and Language Therapy in writing to ensure effective and coordinated treatment. Please note that some formal assessments may be invalid if repeated within a 6-month time period.

  • Confidentiality & Data Protection: Information will be treated confidentially in line with the Data Protection Act 1998 (as provided by the client).

  • ICO Registration: Katy King Speech and Language Therapy holds a Data Controller registration with the Information Commissioner’s Office (ICO).

  • DBS Check: The Therapist holds a current Disclosure and Barring Service (DBS) check for your peace of mind. If clients require the Therapist to carry out sessions in schools or nurseries, the educational setting may require the Therapist to obtain an additional DBS check. In such cases, the responsibility for paying the DBS check will be negotiated between the Therapist, client, and the educational setting.

  • Professional Memberships: The Therapist holds current memberships with the Royal College of Speech and Language Therapists (RCSLT), the Health and Care Professions Council (HCPC), and the Association of Speech and Language Therapists in Independent Practice (ASLTIP).

  • Information Storage: Information is stored in both paper and electronic formats:

    • All paper-based records are kept in a lockable filing cabinet at the Therapist’s home address.

    • All electronic information is password protected. Where reports are emailed to you, they will be password-protected PDF documents, and the password will be sent in a separate email.

    • Information will be kept until your child’s 25th birthday and then shredded/deleted (for electronic records).

Katy King Speech and Language Therapy does not provide support in the area of medico-legal work or tribunals at this time. Therapists offering this service can be found on www.helpwithtalking.com.

Most complaints can be resolved by communicating directly. Please contact Katy King Speech and Language Therapy immediately if you are concerned or unsatisfied in any way with the services provided.

  • Website Usage: The kingspeechtherapy.uk website and client portal are provided for your convenience to access information and book services. You agree to use these platforms responsibly and only for their intended purpose.

  • Intellectual Property: All content on the kingspeechtherapy.uk website, including text, graphics, logos, images, and software, is the property of Katy King Speech and Language Therapy or its content suppliers and is protected by intellectual property laws.

  • Disclaimer of Liability: While every effort is made to ensure the accuracy of information on this website, Katy King Speech and Language Therapy does not warrant the completeness or accuracy of any information. Katy King Speech and Language Therapy will not be liable for any direct, indirect, or consequential loss or damage arising from the use of this website or the booking platform.

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising in connection with these T&Cs shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Your Right to Complain: You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk). We would, however, appreciate the chance to deal with your concerns before you approach the ICO, so please contact us in the first instance.

Personal data, or personal information, means any information about an individual from which that person can be identified. It doesn’t include data where the identity has been removed (anonymous data).

  • Identity Data: includes first name, last name, title, date of birth, and child’s name(s).

  • Contact Data: includes billing address, email address, and telephone numbers.

  • Financial Data: includes bank account and payment card details for processing payments (though we do not directly store full payment card numbers on our systems).

  • Transaction Data: includes details about payments to and from you and other details of services you have purchased from us.

  • Health Data (Special Category Data): includes sensitive information about your child’s physical and mental health, developmental history, assessment results, therapy reports, and treatment plans. This data is crucial for providing effective speech and language therapy.

  • Technical Data: includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.

  • Usage Data: includes information about how you use our website, products and services.

  • Marketing and Communications Data: includes your preferences in receiving marketing from us and your communication preferences.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this Privacy Policy.

  • Automated technologies or interactions: As you interact with our website, we will automatically collect Technical Data about your equipment, Browse actions and patterns. We collect this personal data by using cookies and other similar technologies. Please see our Cookie Policy below for more details.

  • Third parties or publicly available sources: We may receive personal data about you from various third parties as set out below:

    • Technical Data from analytics providers such as Google.

    • Contact, Financial and Transaction Data from providers of technical, payment and delivery services.

    • Health Data from other professionals: With your explicit consent, we may collect sensitive personal data (Health Data) from other professionals involved in your child’s care (e.g., NHS Speech and Language Therapists, teachers, GPs, other therapists) to ensure effective and coordinated treatment.

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you (e.g., to provide speech and language therapy services).

  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests (e.g., for administrative purposes, improving our services, or maintaining our records).

  • Where we need to comply with a legal obligation (e.g., retaining records for a specified period).

  • Where you have given your consent (particularly for sharing health data with other professionals or for certain marketing activities).

Promotional offers from us: We may use your Identity, Contact, Technical, and Usage Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which services and offers may be relevant for you. You will receive marketing communications from us if you have requested information from us or purchased services from us and you have not opted out of receiving that marketing.

 

Third-party marketing: We will get your express opt-in consent before we share your personal data with any third party for marketing purposes.

We may share your personal data with the parties set out below for the purposes set out in the table in paragraph 4 above.

  • Internal Third Parties: Other professionals within Katy King Speech and Language Therapy for the purpose of providing comprehensive and integrated care.

  • External Third Parties:

    • Service providers acting as processors who provide IT and system administration services (e.g., booking platform providers, accounting software providers).

    • Professional advisers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services.

    • HM Revenue & Customs, regulators and other authorities based in the United Kingdom who require reporting of processing activities in certain circumstances.

    • Other Professionals (with your explicit consent): With your specific and informed consent, we may share relevant Health Data with other professionals involved in your child’s care, such as NHS Speech and Language Therapists, teachers, educational psychologists, or other medical professionals. This is done to ensure continuity of care and effective collaborative working for your child’s benefit. We will always obtain clear, opt-in consent for this type of sharing.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

We do not transfer your personal data outside of the UK. If this changes in the future, we will ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:

  • We will only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data by the UK.

  • Where we use certain service providers, we may use specific contracts approved by the UK which give personal data the same protection it has in the UK.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition:

  • All paper-based records are kept in a lockable filing cabinet at our home address.

  • All electronic information is password protected.

  • Where reports are emailed to you, they will be password-protected PDF documents and the password will be sent in a separate email.

     

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.

 

As stated in our Terms and Conditions, all information will be kept until your child’s 25th birthday, and then securely shredded (for paper records) or permanently deleted (for electronic records).

In some circumstances, you can ask us to delete your data (see Your Legal Rights below).

Under certain circumstances, you have rights under data protection laws in relation to your personal data. These include the right to:

  • Request access to your personal data (commonly known as a “data subject access request”).

  • Request correction of the personal data that we hold about you.

  • Request erasure of your personal data.

  • Object to processing of your personal data.

  • Request restriction of processing your personal data.

  • Request transfer of your personal data to you or to a third party.

  • Withdraw consent at any time where we are relying on consent to process your personal data.

If you wish to exercise any of the rights set out above, please contact us.

No Fee Usually Required: You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

What We May Need From You: We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time Limit to Respond: We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
